    Running a successful event comes down to doing things in the right order. This guide gives you the short version of the whole journey in six phases. Each step links to the documentation page with the full details, so you can follow along from top to bottom or jump to the part you need.

    Six phases take you from idea to wrap-up:

    1. Plan

    Decide the format, products, and hardware, and agree samples with the client.

    2. Build the event

    Create the event, design the pages and canvas, and set up surveys, AI, and branding.

    3. Connect devices & printers

    Install the apps, connect the Print Server, and download the event for offline use.

    4. Test

    Go through the guest flow, and produce a test item on the real equipment.

    5. Run the event

    Set up the stations, welcome guests, and manage orders as they come in.

    6. Wrap up

    Sync, export, review the analytics, and report back.

    Make the big decisions first — they shape everything that follows.

      Define the activation

      Decide whether it is in person, virtual, or hybrid, what guests will make, how many you expect, and what a good result looks like.

      Choose your hardware and production method

      Pick kiosk devices, the machines that will produce items, connectivity, and backups.

      Agree samples with the client

      Get written approval on a physical sample before you build, so that nothing changes later.

      Make sure your plan allows enough enabled events, and that you have enough AI credits if guests will use AI.

    Create the event and configure each part of the guest journey.

      Create the event

      Give it a name and a slug, or start from a preconfigured event code to save time.

      Set up the landing and end pages

      Upload your images, write the Start button text, and add a call to action for the end page.

      Configure the canvas

      Set the size and editable area to match your blank, and add a mask if the item is round or has a special shape.

      Decide which editing tools are visible, and which fonts, stickers, shapes, and colors guests can use.

      Install the apps and sign in

      Download the right app for each kiosk, plus the Windows Print Server.

      Run it on a Windows PC on the same network as your kiosks, and check that every kiosk finds it.

      Connect a Bluetooth receipt printer to print each guest a claim ticket with a QR code.

      Download the event on every kiosk while online, so it can keep running if the network drops.

    Test everything as a guest, on the real equipment.

      Turn on Event Enabled, then go through the event on every device type, from landing page to end page.

      Print or make the item with the real machine and blank, and compare it with the approved sample.

      Rehearse what could go wrong

      Switch off Wi-Fi, reprint an order, and swap a kiosk, so you know exactly what to do on the day.

    Phase 5: Run the event

    Make it easy for guests, and keep production moving.

      Set up the stations and signage

      Place the kiosks, production table, and signs so the flow is obvious from the first minute.

    Finish cleanly and learn from the event.

      Back online, use Sync All so every order and upload reaches the server.
